An approved product sample is valuable when the approval is specific enough to guide the full order. “Looks good” may leave the material, dimensions, colour, packaging or acceptable variation unclear.
Use a sample approval checklist for China procurement to connect the reference you review with the bulk production specifications. The sample approval process should record what is accepted, what needs changing and what the sample cannot demonstrate.
Decide what the sample represents
A material swatch may show colour and texture without establishing the finished product’s dimensions or construction. A pre-production unit may still have packaging or artwork awaiting approval. Label the reference and the limits of the review.
Where performance, compatibility or safety needs specialist evidence, identify the required assessment separately. A visual review is not a substitute for a technical test that has not been agreed or performed.
Keep a sample approval record
| Approval item | Record before production |
|---|---|
| Reference identity | Product, model, sample code and revision |
| Dimensions and materials | Agreed specification and measurement basis |
| Appearance | Colour, finish and the physical reference used |
| Functions or fit | What was checked and who accepted it |
| Branding and packaging | Approved artwork, labels and packing details |
| Changes | Required corrections and how they will be confirmed |
| Variation | Any agreed tolerances or acceptance criteria |
| Sign-off | Approver, date and final order-reference version |
Close changes before releasing production
If the sample needs a correction, decide how the correction will be verified. A photograph may be enough for one detail, while a new physical sample or technical review may be needed for another. Do not let “approved with changes” become a vague instruction that different people interpret differently.
For example, approving a cabinet handle’s finish does not necessarily approve its hole spacing. Record both and test the fit where necessary. The order should identify the reference that controls each requirement.
Carry the approval into inspection
Keep the sample record with the final specification and quantity mix. When inspections are arranged, share the same reference and the agreed scope. If the factory proposes a replacement material during production, bring that change back for approval rather than treating the earlier sample sign-off as blanket permission.
The TradeX guarantee uses your approved sample and agreed specifications as the standard for the agreed checks before dispatch. Findings that need a decision are communicated according to the order terms and approval requirements.
Questions buyers ask
Is a photograph enough for every sample approval?
No. Its usefulness depends on what you need to confirm. Fit, feel, construction or performance may need a physical reference or separate assessment.
Can I approve a sample with changes?
Yes, provided the changes and the method of confirming them are clearly recorded before production proceeds.
