Comparing China Supplier Quotations: What UAE Buyers Should Check Beyond the Unit Price

By TradeX · · 2 min read

Business professionals reviewing a contract together

Knowing how to compare China supplier quotations starts with putting the offers against the same product requirement. Two prices are not directly comparable if one includes a different material, fewer accessories or a different packing arrangement.

A useful China procurement cost checklist separates the goods from the other agreed stages. It also marks costs that are unknown. An unconfirmed figure should not disappear from the comparison simply because a supplier has not quoted it yet.

Reconcile the product before the total

Compare the model, dimensions, materials, finish and quantity mix. Check whether the offer includes every component needed for the intended use. Ask the supplier to identify alternatives explicitly.

Then compare the basis of the quotation. Record the currency, quantity, validity and agreed commercial scope. A change in order size or artwork may require a revised offer. Keep the accepted version with the product approval record.

Make quotation inclusions visible

Total delivered cost is useful only when the delivery scope and assumptions are defined. Ask which charges are confirmed, which are estimates and which remain outside the offer. Relevant duties, taxes, permits or handling requirements need assessment for the actual shipment; do not use a generic internet figure as the final order calculation.

For example, a lower furniture quotation may use different upholstery and exclude protective packing. The next step is to clarify those differences, not immediately choose the lowest number. Once the specification matches, negotiation has a meaningful basis.

Negotiate the agreed requirement

TradeX compares quotations and negotiates directly with suppliers for the agreed specifications and quantities. Where an existing quotation is available, share the product details and scope so the team can assess a comparable requirement.

Keep a short decision note explaining why an offer was selected. That gives later sample, production and inspection decisions a reference beyond the original price.

Questions buyers ask

Can I compare quotations with different specifications?

You can review the differences, but label them clearly. Ask for aligned offers or approve the alternative before treating the prices as equivalent.

Does the lowest unit price mean the lowest delivered cost?

No. Packing, services, shipping and receiving scope can affect the complete purchase. Record exclusions and unconfirmed costs before deciding.
